What's New in Vic.ai: September 2026
September's releases target the small, repetitive steps that slow AP teams down. These include looking up who should approve a PO invoice, working around an approval that went through by mistake, digging through vendor chats to see where things stand, and splitting combined PDFs by hand before processing can start. Here's what's new and how each update works.
Route PO invoices to the PO Requester automatically
When a PO invoice needs a full invoice-level review, not just a review of mismatched lines, the person who requested the PO is often the right reviewer. Finding that person used to mean looking them up on the Purchase Orders page and building an approval flow around that specific name. For teams processing thousands of PO invoices a month, that lookup added up fast.
PO Requester is now a built-in approver type in Automated Approval Flows. Instead of naming a fixed person, you set a step to PO Requester. Vic.ai then resolves the approver for each invoice, using whoever is recorded as the Requester on the matched purchase order.
How it works:
- Single PO match: the matched PO's Requester becomes the approver for that step.
- Multiple PO match: every distinct Requester across the matched POs is added, and each one receives the approval.
- In the flow builder: the step displays as "PO Requester" rather than a specific name, because the approver changes from invoice to invoice.
To set it up, go to Admin > Payables > Approval Flows, add or edit a step, and choose PO Requester as the approver type. The option appears when PO matching is enabled for your company and AAF is set to include PO invoices. PO mismatch flows are configured separately and aren't affected.

Cancel approvals on fully approved invoices
Until now, once an invoice was fully approved, there was no way to undo it in Vic.ai. If an approver signed off on the wrong amount, or something needed correcting after the fact, teams had to work around it outside the approval flow.
A new company setting, Enable Cancellation for Approved Invoices, lets accountants cancel the approval process on a fully approved invoice. They can then route it back through approval with corrected information. The correction happens inside Vic.ai, where it belongs, instead of in side conversations or manual workarounds.
This is most useful while an invoice is approved but not yet posted. Posting is a final state, so a posted invoice can't be cancelled this way.
The setting is opt-in and off by default, so nothing changes until an admin turns it on under Admin > Configuration > Approval Process settings. This update came directly out of customer feedback.

Ask Vic about your AP Invoice Chat performance
AP Invoice Chat is where your team and your vendors work through invoice discrepancies. Now you can measure how well that process is working, without reading through threads one by one.
Vic, the chat-based AI assistant in Vic.ai, can now answer natural-language questions about AP Invoice Chat. That includes first response time, last response time, approver response time, total chat duration, and which vendor conversations are still open or have gone quiet.
Try asking Vic things like:
- "What's our average first response time on AP Invoice Chat this month?"
- "Which open invoices have external vendor chats with no responses?"
- "How long does it typically take approvers to respond on a chat?"
You can break results down by company, vendor, invoice, date range, discrepancy type, participant or team, and status. Every answer respects your existing company and user permissions. This is read-only reporting, so it doesn't change how AP Invoice Chat or your discrepancy workflows run today.

Automatic invoice splitting
Vendors often send several invoices combined into a single PDF. Before any of those invoices could move through extraction, coding, approval, and posting, someone had to split the file by hand.
With Automatic Invoice Splitting, Vic.ai checks each incoming attachment to see whether it contains one invoice or several. If it finds multiple invoices, it groups the pages that belong together and creates each individual invoice automatically. For example, a PDF holding five invoices becomes five invoices, ready for your normal workflow.
What makes it work in practice:
- Works across vendors and formats: there's no per-vendor setup required.
- Tells look-alikes apart: even when invoices come from the same vendor and look nearly identical, Vic.ai uses details like invoice number to decide which pages belong together.
- Handles large files: longer, multi-page PDFs with many invoices can be processed automatically.
- Doesn't guess: if Vic.ai can't confidently decide how to split a file, it keeps the attachment together for review. Manual splitting is still available any time.
Any vendor-specific splitting you already have in place keeps working as it does today. Automatic Invoice Splitting is enabled at the company level and is off by default. Contact your Vic.ai account team or support to turn it on.
