What’s New in Vic.ai: October 2026

October was about keeping approvals moving. Approvers can now hand off PO mismatch approvals while they’re away, pause an invoice without losing progress, and escalate the ones that stall. We also tightened up PO matching, added a faster way to find payments, and gave Vic Assistant chats some much-needed organization. Here’s the quick rundown.

Out-of-Office Mode for PO mismatch approvers. PO mismatch approvers can now schedule time away and name a substitute, who steps into their approvals for that window and is removed automatically when they return. Vic.ai flags it ahead of time if the substitute doesn’t have the access they need, and every substitute approval is marked in the approval history. Available to customers in the US and Nordics.

PO-referenced adjustment documents. When a vendor sends a debit or credit on a PO that’s already been fully invoiced, you can now process it as a dedicated adjustment document type. The PO stays attached for traceability, but the document skips PO validation, gets coded to GL, and goes to your ERP clearly labeled as an adjustment. SAP customers see these as Subsequent Debit and Subsequent Credit. Available to customers in the US and Nordics.

Filter payments by amount. The Payments page now has an amount filter, so when a vendor asks about a specific payment, you can go straight to it. It works just like the amount filter on Bills to Pay. Available to all VicPay customers.

Invoice approval on hold. Approvers can now pause the current approval step with a reason instead of rejecting the invoice and losing progress. Reminders and escalations stop while it’s held, an ON HOLD indicator shows on the invoice and in the grids, and approval picks back up from the same step on resume. Available to customers in the US and Nordics.

Pending Receipts for document-level PO matching. Invoices matched at the document level now show a Pending Receipts status when the PO hasn’t been fully received, instead of a false Rule Violated or an early Matched. You can filter them out of your queue, route them through mismatch approval, and spot unreceived POs in the manual match view. Available to customers in the US and Nordics using document-level matching.

Projects for Vic Assistant chats. Your conversations with Vic can now be grouped into projects, pinned, searched and archived instead of piling up in one list. General and Analytics projects are included by default, and you can create your own. Available to customers with Vic Assistant through their Analytics package.

Auto-escalation for PO mismatch approvals. You can now add reminder notifications to any PO mismatch approval step, timed in hours. If the step is still open, Vic.ai emails a specific user, the approver’s manager, or the manager’s manager. Escalations only notify, so they never reassign or auto-approve. Available to customers in the US and Nordics.
