Why construction AP is different

A typical AP workflow is fairly straightforward. An invoice comes in, gets coded, approved, and eventually paid. Construction adds more detail.

An invoice may need to be coded not only to a GL account, but also to the correct job, phase, and cost type. That coding matters because it feeds directly into job cost reporting. Purchase orders and subcontracts add another layer because invoices may need to be matched against committed costs. Then there are multi-company environments. A single AP team may be processing invoices across several Vista companies, each with different approval workflows, accounting structures, or operating processes.

If the AP system does not understand that structure, the finance team usually ends up fixing the data manually anyway. At that point, a lot of the value of automating the process goes away.

What to look for in Vista AP automation

If you are looking at AP automation for Vista, I would ask a few pretty basic questions.

  • Does the system understand construction job cost coding, or is it mostly built around standard GL coding?
  • Can it work across multiple Vista companies?
  • Is there already a Vista integration, or will one need to be built specifically for your environment?
  • Is the integration available through Trimble AppXchange?
  • And has the vendor actually taken Vista customers live in production?

Those questions should give you a good idea of how much of the solution already exists versus how much will need to be figured out during implementation.
